About the position

In line with Loop Horizon’s growth and increased client demand for experienced delivery support, we are hiring a PMO Analyst to join the team.

Job Overview

As a PMO Analyst at Loop Horizon, you will be working to ensure the smooth and efficient delivery of our client engagements and effective management of internal teams and resources as well as facilitating a culture of continuous improvement to enable the evolution of our working practices.

This role will initially be 20 hours a week over 5 days with a view to increasing this over time.  

Reporting to the Head of Delivery, your responsibilities will include:  

  • Administration of the end-to-end internal governance for the client engagement portfolio:
  1. liaise with the Sales team on new engagements to ensure SOW are set up correctly in the engagements register on Monday.com including revenue recognition and invoicing milestones
  2. ensure Pipeline forecasting and confirmed projects are resourced appropriately and represented accurately in the Resource tracker and TRS (timesheet) modules
  3. liaise with project managers and teams to ensure that new engagements are initiated correctly and the relevant reporting and KPIs are in place
  4. monitor projects on a weekly basis (or as appropriate) to ensure these are on track and any risks and issues are being managed correctly  
  5. provide administrative support for the project management team and ensure the standardisation of weekly internal reporting and metrics
  6. liaise with the project team to produce the weekly project status report for inclusion within the Senior Management Team (SMT) weekly report and fortnightly all hands meeting
  7. work with the Finance team to provide month end reports to support invoicing and revenue accounting activities
  8. track and follow up on timesheet submissions to ensure these are submitted on a weekly basis to ensure accuracy of reporting
  • Evolution and production of Company wide reporting for the SMT, to include:
  1. monthly resource utilisation reporting to aid workforce planning and business development
  2. weekly pipeline views of upcoming work at a team capacity view - highlighting pinchpoints and gaps and taking proactive action with team managers and resource managers to resolve
  3. production of recovery rate analysis on a monthly basis to demonstrate accuracy of SOW forecasting versus delivery and ensure learnings are captured and fed back to relevant teams
  • Working with project managers and teams to evolve, improve and automate standard templates and documentation on engagements encompassing agile, waterfall and hybrid methodologies ensuring that learnings and actions from retros are captured and implemented centrally
  • Using our Service Line framework, ensure that service line documentation is completed for each engagement and filed appropriately whilst ensuring the continuous improvement of the effectiveness and efficiency in delivery of our client facing service lines
  • Contribute learnings and best practice to aid the overall aims of Loop as well as the delivery team and be open to taking on feedback and trying new ways of working
  • Involvement with other ad hoc projects and completion of requests as required in line with the wider programme of scaling activities that is underway within the company

Experience and Attributes Required

  • Minimum 2-3+ years of experience working in a Project Management Office
  • Excellent analytical skills with strong attention to detail
  • Experience of using project management software and tools with knowledge of Monday.com desirable
  • Experience using reporting tools such as Tableau or PowerBI
  • Experience of working across different delivery methodologies including waterfall and agile
  • Excellent stakeholder engagement and communication skills
  • Proficient in the use of Excel and Powerpoint
  • P30, PRINCE2 qualified (or similar) desirable
  • Adept at problem solving and a can-do attitude
  • Experience of working in a consulting environment (desirable)
